Our Clients

Our client is a leading warehouse club (WC) operator in the United States. They provide perishable food products, including daily fresh fruit and produce; general merchandise; gas; and other services – all at low prices. WC has been a Prolifics client for over five years.

Challenge

Retail in General

Retail is changing – fast – due to the demands of tech-savvy customers who expect the “omnichannel experience” – a high-level, seamless interaction whether they’re shopping online, in-store, through mobile, or calling in. Any disconnect in the flow can make for a disappointed customer, leading to a loss of brand loyalty and consequently lower revenue. To meet these higher customer expectations, retailers needed more data for more information and analysis so they could react to their customers’ needs. Older, on-premise legacy systems that silo data are not up to this task.

Integration/modernization is the key first step toward providing the omnichannel experience.

WC’s COVID-19 environment and beyond

WC was in the process of a digital transformation to enhance its digital capabilities and offerings. COVID-19 elevated the importance of digital transformation, and the ability to pivot and change became more urgent for WC, even as the pandemic subsided. In recent years, the company launched an improved website; mobile app; digital coupons; buy online, pick-up in store; same-day grocery delivery; expanded digital options to include fresh and frozen grocery items, and other e-commerce conveniences for members. According to the company, new members are joining at a record pace, and the company is targeting new members who are younger and more digitally engaged. Consequently, WC needs to continually ensure its technology manages these applications and orders to maintain a strong omnichannel offering.

Action

For more than five years now, Prolifics has helped WC to modernize and expand their IT capabilities by coupling IBM solutions with Prolifics’ services and solutions. This includes working with IBM Integration Bus (IIB), IBM MQ (messaging and queuing) and MQ Appliance, QRadar, Cognos Business Intelligence and multiple DataPower components.

Prolifics continues to lead the major digital transformation at WC. Because of the increase in its digital segment, the company had to acquire more digital infrastructure while ensuring flexibility for further growth:

  • The WC executive leadership team requested that Prolifics partner with WC’s information technology Order Management System (OMS) Commerce team to implement the most recent IBM Sterling Order Management. The order management system expansion gives the company the ability to process more orders per second.
  • Prolifics successfully proposed utilizing IBM Cloud Pak for Integration (CP4I). Cloud Pak components let WC receive the higher number of orders per second for OMS processing.

While very few organizations have the expertise to implement Red Hat OpenShift within their current infrastructure and integration level, we were able to sell WC the software and stand up the CP4I environment for them. Certain tasks needed to wait for a 2021 upgrade. In 2022, we conducted a proof-of-concept (POC) to determine whether CP4I could successfully auto scale and run native APIs.

Results

The OMS expansion and Cloud Pak licensing give WC the ability to receive and process more orders per second, helping to drive revenue and meet customer demand.

CP4I gives the company:

  • licensing flexibility for different solutions
  • an anchor for WC’s future cloud expansion
  • help with secure file transmissions and improved DevOps tools and processes

For WC, Cloud Pak is about positioning themselves later for even more growth. The licensing flexibility allows them to grow and expand easily in a cost-efficient manner. WC’s growth has allowed it to make investments as an organization, and by leveraging the partnership with Prolifics, they’ve done it with cost efficiency.

For instance, by upgrading WC to CP4I, we created greater accessibility for their traditional and newer members, who were able to make product purchases in a variety of ways. This allowed WC to gain a competitive advantage and keep up with the retail industry’s “new normal” after COVID-19.

By acting as coaches, we equipped WC with the foundational knowledge they need for CP4I implementation. We’re able to meet WC’s needs due to our 40 years of experience, our skill sets and our position as an IBM premier partner and vendor.

Challenge

A Common Story – Multiple Legacy Components Stall Company Growth

HIP’s story is a common one. As their company grew, they’d purchase a license here or some storage space there to keep up with their growing business. But eventually, their IT infrastructure had become a sprawling — and expensive — entity made up of legacy, or outdated, components that required an inordinate number of licenses. These legacy components neither interacted with each other nor offered the flexibility a growing company needs to be successful.

The executives at HIP wanted to save money by reducing the number of legacy licenses they held and improve the company’s agility. They wanted to reach both of those goals by taking advantage of their organization’s existing and growing investment in Azure. Azure’s cloud technology offers better performance, increased scalability and improved security than traditional on-premises systems. However, HIP knew how deeply entangled their organization was with their existing system, and needed an expert partner to help them with their migration.

The Four Phases of the PAM Methodology

Prioritize: In this first phase, Prolifics ensures user communities at an organization understand the value of migrating to a modern environment. We also measure user communities’ readiness to migrate, and measure the legacy application(s) footprint that supports the community. 

Assess: This phase examines the code/application supporting specific user communities in order to determine which of three migration options is applicable.  

Migrate: In this phase, the selected migration option is executed.  

Deploy: The code/application deployment is completed in this phase. We also manage the change to business processes and provide support to the user communities affected.

The experts at Prolifics have literally written the book on cloud migration. Based on our decades of experience moving from legacy systems to modern cloud platforms, we’ve developed the four-phase Prolifics Agile Migration (PAM) methodology, which clearly lays out the process of breaking away from a legacy system and moving to the cloud in a large-scale migration.

As a result of the migration plan we developed and implemented for HIP, the organization reached their goals. Not only will they save millions of dollars in licensing fees over the course of a year, they improved their agility by modernizing their systems and moving into the cloud.

A secondary result of our work with them surrounds data governance. HIP didn’t have a good handle on their data simply because their legacy systems didn’t allow them to. But HIP’s data governance and data integration teams are taking advantage of this migration to collect, organize, analyze and apply a universal set of standards to their data. As a result of this exercise, HIP no longer will lag behind in modern data governance standards, and they recognize that the more modern their systems are across the board, the more agile their business will be.

Our client, a large, national gaming corporation (GC), is a gaming and hospitality company based in the Southwest and is currently comprised of more than 25 properties in multiple states.

About our client

Challenge

Multiple systems, older technology, limited resources

GC was using multiple technologies and software products — both behind the scenes and in front of guests — to keep the business running smoothly. However, most of the technology was older, legacy systems that didn’t communicate with each other and GC found it didn’t have the internal resources to manage it all. The “running smoothly” was in serious jeopardy. Prolifics had begun working with GC to modernize systems and had also been providing managed services to plug GC’s tech gaps. Things were on the right path – then COVID hit.

Like every organization in the entertainment and hospitality industry, GC was shuttered for months. Their casinos and hotels closed, and they furloughed much of their workforce. The employees who stayed had to work remotely, but GC’s systems lacked the sophistication needed to support an offsite workforce. Their already precarious IT situation was exacerbated by COVID’s effects on their business, and the situation was dire.  

Action

Identifying essential functions key to survival

Together, Prolifics and GC knew we had to put the modernization efforts on the back burner and focus on GC’s survival. The Prolifics team quickly pivoted to a new plan that would help keep GC afloat. We suggested a managed services plan in which we would prioritize and manage their IT tasks. We reduced less essential IT functions and took over essential ones so that the company could continue to operate with a skeleton staff. We put the new managed services plan into effect quickly, and our strategy became crucial to keeping the business operating.

Result

Running full capacity after COVID shutdown

By bundling GC’s essential technology functions into a cost-effective and lean managed services plan that fit GC’s dramatically reduced budget, we helped the company remain operational without a considerable cost burden. Outsourcing GC’s IT functions through managed services was vital because GC didn’t have to maintain the staff to handle their IT functions, which saved them money while they struggled financially under COVID lockdowns. 5 Reasons for Managed Services – Now!

First, what are managed services?

It’s taking the load off your IT staff and putting them right on someone else. That is, you’re outsourcing selected functions to a managed service provider (MSP). MSPs offer the specialized skill set, flexibility and scalability to keep whatever system, platform or infrastructure you want, cloud or on-prem, going strong 24/7, 365.

So why are managed services more useful now than ever?

(1) Things have changed.

And by that we mean “the pandemic has created a paradigm shift to a new normal.” It’s very possible your company has lost IT staff. You’ve had to adjust your processes and procedures to accommodate people working remotely. You’re trying to do more “new normal” things with less people. It’s hard to scale up or down as needed. You feel like you’re losing control – you’re spinning plates on sticks, waiting for gravity to take its toll. So, give some of those plates and sticks to the MSP. They’re spinning plate specialists. And in the unlikely event they do drop a plate, it’s their job to clean it up and start spinning again, and you and your customers probably won’t know it’s even happened.

The legacy systems you have are chugging along – but they need a lot of maintenance and updating to keep things running. You need your staff to be more strategic-minded and working on higher level, value-added projects, but it’s hard to do when they’re mired in the day-to-day. In fact, you’re probably experiencing higher than normal churn as staff moves on to more interesting places to work. Off load that boring work to the MSP and free up your staff for that more important work, like updating those legacy systems.

(3) You have a big, new shiny system – now what?

It’s the flip side of (2) above. To stay competitive your company has done its digital transformation, application modernization and systems integration. That’s a good thing. You and your IT staff teamed with the consultants as everyone decided what’s next and what’s best; you all helped the outside implementation firm get things up and running. Now the outside firms are gone. And you have to keep this brand-new machine going. You just don’t have the skill sets internally to keep up with it – and that’s not a slam against your staff. (We can’t all be Kupernetes experts.) The latest digital solutions can be highly specialized, and you’re not going to have people that specialized on your team working 24/7. But the MSP will.

(4) You want to get costs under control.

This applies to all the previous points above. You can’t get a handle on your costs if you’re unable to scale correctly; churning staff; underutilizing talent; or hiring talent that’s too specialized. An MSP with a service level agreement (SLA) means set, known costs (or range of costs) that you can budget for with certainty. You’ll find that in the long run it’s more cost efficient than having the staffing issues.  

(5) You want one person to yell at.

If something does go wrong in the middle of the night, you don’t want to waste time figuring out who’s on shift or finding who’s next on the emergency call list, or – heaven forbid – getting out of bed yourself. The MSP is the single, accountable contact that’s one phone number away.

The challenge: develop a rapid, richer case management

Our client used IBM Case Manager for all their back-end data and processes, with an add-on, third-party UI framework for the front end. As a team, the Innovation Center set out to build what we termed a “rapid, richer case management” solution. The goal was not only to solve the client’s immediate issue with the current registration function, but also create the ability to rapidly prototype a UI to any IBM Case Manager process without being dependent upon a third-party. Any state or local government would have multiple agencies that would benefit from such a solution – such as driver’s licenses, tax payments, parking permits and countless others.

The technology: current, available, and low configuration

The solution skill set needed to be modern and readily available in the current workforce. We began with JSON (JavaScript Object Notation) an open-standard file format that uses human-readable text. The solution uses JSON to connect to IBM Case Manager (back end) and then specify what the client wants on their screen (front end). We added Angular – a popular UI framework – for the display widgets that are connected to the JSON files.

The benefits: lower costs, implements quickly, maintains easily, looks great

By removing the cost of a third-party UI addition to IBM Case Manager, our rapid, richer case management solution can save money. For the client CIO and IT support staff, Prolifics can implement the solution in a fraction of the time versus other solutions. You’ll find that maintenance is easy – the simplicity is that no coding is required to render the UI; to change a field on the screen you merely change the name in the JSON file. (Business logic, validation and security would still require some coding.)

From a business and employee-user side, the resulting interface looks good, feels modern and is friendly to use. An issue we’ve found in our discussions with state and local governmental agencies – and many industries – is that they have a hard time recruiting young talent. Part of the problem is that young talent expects modern technology that looks and acts a certain way. A rich user interface helps with this challenge. The ultimate benefit, though, is that a better UI makes that customer line move faster.
